Deafway respects your privacy. This policy explains what personal information we collect when you use our website, why we collect it, how we look after it and what rights you have. It covers deafway.org.uk only. If you use our residential, community or training services, or work or volunteer with us, we will give you a separate privacy notice that explains how we handle your information in those settings.

What information we collect and why

When you contact us

If you use our contact form, email us, or message us by text or video call, we collect your name, contact details and whatever you choose to tell us. We use this only to reply to you and deal with your enquiry. Our lawful basis is our legitimate interest in responding to people who get in touch with us.

When you make a donation

If you donate online, we collect your name, email address, phone number, billing address, the amount you give and, if you choose, a Gift Aid declaration. We use this to process your donation, send you a receipt, claim Gift Aid from HMRC where you have asked us to, and keep the financial records the law requires. Our lawful bases are performing our agreement with you and complying with our legal obligations.

Card payments are handled securely by Stripe. Your full card details go directly to Stripe and are never seen or stored by Deafway.

When you book one of our facilities

If you book a room or space, we collect your name, organisation (if any), email address, phone number, home address, the name of the person responsible for your group during an evacuation, and the details of your booking. We use this to manage your booking, contact you about it, take payment where needed, and keep everyone in the building safe. Our lawful bases are performing our agreement with you and our legitimate interest in the safety of our premises. Where payment is taken online, it is handled by Stripe as described above.

Keeping in touch

We will only send you news, appeals or fundraising updates by email or text if you have given us permission. You can withdraw your permission at any time by contacting us or using the unsubscribe link in any message.

Cookies

Cookies are small files stored on your device. We do not use advertising or analytics cookies. The cookies set by our website are needed for it to work, for example to keep your place while you complete a donation or booking, to protect forms from spam, and to let our payment provider Stripe prevent fraud.

Some pages include content from other websites, such as YouTube videos and Google reviews. When you view that content, those websites may set their own cookies and collect information about you, in the same way as if you visited them directly. Please see the privacy policies of Google and YouTube for details.

Who we share your information with

We never sell your personal information. We only share it with organisations that help us run our website and services, and only as much as they need. These include our website hosting provider, our email delivery service, Stripe for payments, our calendar system for managing facility bookings, and HMRC when we claim Gift Aid. We may also share information if the law requires us to, or to protect someone’s safety.

Some of these providers may store data outside the UK. Where they do, we make sure appropriate safeguards are in place as required by UK data protection law.

How long we keep your information

We keep your information only as long as we need it. Enquiries are normally deleted within two years of our last contact with you. Donation, Gift Aid and booking payment records are kept for seven years, as required for financial and tax purposes. Other booking details are kept for two years after your booking.

How we keep your information safe

Our website uses a secure (HTTPS) connection, access to personal information is limited to staff who need it, and we use reputable providers who protect the data they hold for us.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you
  • ask us to correct information that is wrong or incomplete
  • ask us to delete your information
  • object to, or ask us to limit, how we use your information
  • withdraw your consent at any time, where we rely on it
  • ask us to transfer your information to another organisation

To use any of these rights, contact us at info@deafway.org.uk or by post at the address above. You can contact us in BSL by text or FaceTime using the details on our Contact Us page. We will respond within one month.

Complaints

If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

Changes to this policy

We may update this policy from time to time. The latest version will always be on this page.
